We are pleased to announce that version 12.02.28 of the Lingotek Translation Management System was released today. In this release, we’ve made significant improvements to TM, including the ability to store document metadata on TM units, displaying that metadata in the TM matches in the Workbench, and adding the ability to specify TM Vault penalties. These penalties apply to all matches from specific vaults, ensuring that matches from higher priority TM Vaults are preferred. We’ve also improved the project management experience by adding additional phase statuses, a new status filter, enhanced phase and task due dates, the ability to skip phases, and much more.

TM and Document Metadata

  • Display TM metadata
    Now the workbench displays document metadata next to each TM hit.
     
  • Edit document metadata
    We’ve added the ability to edit document metadata via a document’s Settings tab.
     
  • Add Category ID
    Using API 5, a Category ID can be added to documents. This can be added when documents are uploaded or when they are updated.
     

TM Penalties

  • TM penalties
    To ensure TM from the most preferred vaults will have the highest score during the TM Leverage phase and in the workbench, we’ve added the ability to penalize TM matches from low priority or untrusted vaults.
     
  • Set penalties
    If desired, vault penalties can be set throughout the TMS. Vault penalties can now be added from the Workflow Project Setup tab, Project Resources tab, Leverage Phase (TM Leverage Rule section), and the Analyze dialog.

  • Applied penalties
    Penalties will be applied during the TM Leverage step, during TM Analysis, and to TM hits displayed in the Workbench.
     

XLIFF Handling

  • XLIFF export, reimport
    Documents can be exported as XLIFF and reimported as translation memory.

  • Lock and ignore segments with existing translations
    The XLIFF 2.0 importer now both locks and ignores segments with existing translations. This marks the segments as ignored and hides them from word counts and TM statistics.

  • Standardizing for XLIFF exporter
    We’ve also updated the current XLIFF 1.2 exporter to export a more industry standard XLIFF 1.2. See below for specific details.

  1. All trans-units with a translation must now have a translate element for the primary translation.
  2. We’ve removed lgtk namespace notes attributes from XLIFF export.
  3. All phases should be represented in the alt-trans.
  4. Lingotek XLIFF alt-trans imported into TM now filter out all alt-trans not matching alttranstype of "accepted" or state of "final" or "signed-off."


Download Options

  • Download all targets in a single spreadsheet
    When a user downloads a completed document, they have the option to export all completed translations into a single spreadsheet. In this spreadsheet, the source segment displays in the first column, and its target translations display in adjacent columns.

  • TM Statistics Report
    The TM Statistics report can be downloaded in .CSV format on Windows and Mac.
     

Skip Phase, Due Dates

Now PMs can add reasons for skipping a phase or changing a due date. 

  • Enter Skip Phase reason
    As needed, PMs can enter the reason for skipping a phase.
     
  • Change Due Date reason
    As needed, PMs can enter the reason for changing a due date.
     
  • Due dates cannot be set in the past
    The due date calendar now grays out dates in the past.
     

Status Monitoring

  • Target statuses
    To help project managers track the progress of each target’s translation phase, we’ve added a Status column to the Targets tab.

  • Target action icons
    To make room for the Status column on the Targets tab, we have moved all Target Action icons under a More icon at the end of each row.


System Emails

We’ve made two enhancements available in our automatic email notifications.

  • Ability to notify current assignee. Prior to this release, automatic email notifications could be sent to the previous and next assignees. In this release, we’ve added the ability to send automatic notifications to the current assignee.
     
  • New email variables. We’ve added the ability to pull in the document, target, and phase due dates into an email template. New variables include: {DocumentDueDate}, {TargetDueDate}, and {PhaseDueDate}.


Workbench Enhancements

  • Emoticons
    We’ve improved the handling of emoticons. Now the Workbench allows the linguist to drag and drop emoticons as inline tags and place them in the correct location in translated text. We’ve also improved the way that translation memory stores and leverages segments with emoticons.
     
  • Resize sidebar
    The sidebar can be resized by dragging the handle to the left of the sidebar.
     
  • Linguist task list status
    The task list displays current document statuses to the linguist.
     
  • Workbench and Tasks List dialogs
    We’ve added two interactive dialogs to the linguist Workbench and Tasks list.
    • Log Hours. When linguists mark Custom phases complete, the dialog now allows them to log the hours spent on each task. 
    • Add Late Reason. If a linguist is late completing an assignment, they are prompted to specify a reason (used for reporting purposes).


UI Enhancements

  • Enhanced screen display
    We’ve improved the display on devices with smaller screens such as laptops and tablets.

  • Maximized screen space
    To maximize TMS screen space when the browser window is resized the TMS dynamically expands to fill the active window.
     
  • Widened Created Date and Due Date columns
    We have widened the Created Date and Due Date columns on the Project Summary page to improve visibility.
     
  • Return to document list
    Once documents are uploaded, the import status alert includes “Click Done to return to the Documents List."
     
  • Refresh project list
    We've added the ability to refresh the TMS project list without refreshing the browser window.
     
  • Date display (targets and task list)
    The TMS now displays timestamps for Started, Due, and Completed Dates on the Targets Tab and on the Task List.
     
  • Hide Mark Complete Button
    In order to prevent premature triggering of workflow phase actions, when a custom phase is not yet ready to be worked on, the Mark Phase Complete button is hidden.


Other Enhancements

  • Global Search
    The global search box now supports searches for documents by Doc ID and Doc UUID.
     
  • Log hours
    Once a custom phase is complete, the user is prompted to enter the hours spent on the custom phase.
     
  • IDML import
    We’ve improved the import process for IDML files.
     
  • New supported locale
    The Lingotek TMS now supports en_BE (Belgian English) as a locale.
