Sharing Resources in the Workbench via a Workflow
- Note: all resources included in a workflow (TM vaults, glossaries, etc.) – will be shared as reference material in the workbench with all users of the workflow.
- Additionally, if a resource (e.g. TM vault, glossary) is used on a workflow, any PM that is allowed to use the workflow is also allowed to use that TM vault on any projects they create that use the workflow.
- Note: This does not give the PM rights to edit the TM vault. It simply lets them offer the TM vault as a resource in the workbench.
Tip: Other than view-only reference material in the workbench, Linguists cannot access the resources shared on a workflow.
To share a workflow,
Open the workflow. (Go to Project Resources > Workflows and open the desired workflow).
Click the Gear icon.
Switch to the Settings tab and scroll down.
Under Shared Users, type and select My Community to share the workflow with all project managers in your community.
If you only want the workflow to be available to select project members, type their username to add them as a Shared User (e.g. ChinesePM1, FrenchPM1, SpanishPM1).
Click off the tab to save your work.
