Administrator Training (Drupal)


Welcome to Enterprise/Drupal Administrator Training! This training checklist includes key tasks you will need in your day to day work, and follows the translation from request to processing to publishing.

The purpose of this exercise is to solidify concepts and give the chance to work with the system and address any questions that may arise. As you complete the tasks below, please feel free to ask questions.

Setting Up (Enterprise)

  • Add a new user.Ā Hint.
    Tip: Be sure to give appropriate permissions to the user.Ā 
    Tip: Users cannot be deleted (only reassigned). When adding users, try to create legitimate accounts.

  • Create and upload aĀ Glossary.Ā Hint.

    (warning)Ā Important. Be sure to add the Glossary and TM Vault when you configure the workflow.
    (warning)Ā Important. In the workflow, be sure to use the same TM vault for the TM Leverage step and for the Save to Vault (under the Document Settings).

  • Add anĀ Email NotificationĀ to the Leverage+Translate+Review workflow. (Create Rule,Ā Create Email).
    Ā  Ā  Ā (tick)Ā Extra Credit: Using a variable, pull the Document Name into the email.Ā 

  • Turn OffĀ "Mark complete when 100%" on each workflow.Ā Hint.

  • Create 3 Test ProjectsĀ (one for each workflow).Ā Hint.

      • Tip: These names are for testing purposes only. Projects can be createdĀ 

  • Set up Each Project.Ā Hint.
      • Go into each project and set it up.
        • Go into the project and add a workflow. (Use the workflow that corresponds to the project's name).
        • Select target languages and enter other key information.

Once the project is set up, it can be used on a Drupal Translation Profile. The Translation Profile will help you add Drupal content to an Enterprise project.


Create a Page (Drupal)

Log into Drupal and create a new page. Paste in the following HTML. (This content is included in the sample translation memory file).

Setting Up (Drupal)

Within Drupal, a Translation Profile connects Drupal content with Enterprise projects. The Translation Profile spells out which translation settings to use on which Drupal content.

After setting up Enterprise's settings, you will be ready to create a Translation Profile.

  1. Create Translation Profiles.Ā Hint.

Log into Drupal as an administrator andĀ create three Translation Profiles.Ā Create one Translation Profile for each Enterprise Project.Ā 

    • Create one calledĀ Machine Translate Only
    • Create oneĀ calledĀ Machine Translate + Human Translate
    • Create oneĀ calledĀ Leverage+Translate+Review

(Tip: Naming conventions are for testing purposes only. Projects, Workflows and Translation Profiles can have different names if desired).


2.Ā Upload / Download Automatically.Ā Hint.
In the profile, choose whether toĀ upload/downloadĀ automatically.

    • Use Automatic upload/download for the Machine Translation Only workflow.
    • Use Manual upload/downloadĀ for any workflow using Human Translation.

3.Ā Apply Translation Profiles.Ā Hint.
After creating the translation profiles,Ā apply themĀ to the appropriate content.

    • Open the TranslationĀ SettingsĀ page. After thinking about how you wish to handle translations, apply a translation profile to each content type. Apply a translation profile to
      • Translate Nodes

      • Translate Comments

      • Translate Configuration


4.Ā Request Translations.Ā Hint.
After applying translation profiles, go to the Translation Management tab andĀ request translationĀ for your content.

    • Request translation for a single node.
    • Request translation for several nodes.
    • Create a new page. Request its translation (use the checkbox and drop-down menu).
    • Create a new article. Request its translationĀ (use the checkbox and drop-down menu).
    • Create new content and send up for translation (MT & Human).

Managing Translations (TMS)

After requesting the translations, you will be ready to assign the documents for translation.

  • Assign Translations.Ā Hint.
    Go into each project and assign the document(s) for translation. Practice using the bulk selection feature to assign multiple documents.

  • Complete Translations.Ā Hint.
    From the project, click a document link to to open it in the workbench and complete the translation.Ā 
    (Tip: copy and paste in Machine Translations).Ā 
    Be sure to mark the document as complete.

Monitoring Progress (TMS)

Log into the TMS and check the translation progress.

  • Open Each Project. Check its status.Ā Hint.
    • (Machine Translate Only, Ā Ā Machine Translate + Human Translate, Ā Ā Leverage+Translate+Review)
      • Make sure the right content is being pulled in.
      • Check to see how translations are progressing.
      • Open a document to see progress for individual target languages.

Completed Translations (Drupal)

View completed translations. Hint.

  • Once translations are complete, check Drupal to ensure translations were downloaded as expected.
