Accessing the Find & Replace Tool

To access the Find & Replace Tool, go to your navigation Side Bar and select the Tools menu, then select Find & Replace.

Approved Segments

The Find & Replace tool in the TMS only returns segments that have been saved in the workflow. It only allows you to edit phases that have been saved. Consider the following two-step workflow:

  • Example (Translate + Review)

    • If a segment has been saved in the Translate phase but has not been approved in the Review phase, then the Find and Replace tool will return the segment from the Translate phase and you will be able to edit that segment.

    • However, if the segment has been saved in the Translate phase and approved in the Review phase, then the Find and Replace tool will return the segment from the Translate and Review phase but you will only be able to edit the Review phase. 

  • Updates made in the Find and Replace tool will be displayed in the Workbench. With the same scenario above (Translate phase saved, Review phase unapproved), if you replace a segment using the Project Find and Replace tool, the translation the reviewer sees in the Workbench will be updated. 

  • Locked Exact 100% Matches are saved segments and will be available in the Find and Replace results.

Find Matches in Source or Target Translations

When executing a Find, you have multiple options for narrowing the results that are returned. 

  • Access (for Project Managers): This allows you to filter the Project selector by those Owned by Me or Shared With Me

  • Project: Choose which project you are searching in. You cannot search across all projects.

  • Find In: Configure whether you want to find text in the Source or Target.

  • Job ID: Filter the queried documents by the secondary metadata Job ID field.

  • Restrict Search Using:

    • Matching characters - If you do not select whole words or whole segments, then you are searching within segments for anything that matches your search criteria. (I.g. if you search “catch” segments with the word “catching” will be returned.)

    • Whole words - Selecting this will restrict your search to the word level (i.g. if you’re searching for “catch” segments with the word “catching” will not be returned).

    • Whole Segment - Selecting this will make it so your search criteria must match entire segments (i.g. if you search “I like to catch” a segment “I like to catch frisbees.” will not be returned).

    • Case Sensitivity - Choose if the case must match in your results.

To find results:

  1. Configure your search options and enter your search text.

  2. Click the Find button.

Find & Replace in Target Translations

To find text in the Target :

  1. Change the Find In dropdown to Target. You cannot use the replace tool on source segments.

  2. Choose whether you are replacing matching characters, words, or segments. These are the “Restrict Search Using“ settings.

    1. Using replace on matching characters will replace the matched characters even if they are part of other words, so please use with caution (i.g. if your search criteria is “a” and you want to replace it with “bob” then the word “apple” will become “bobpple”).

  3. After entering the text you wish to find, select the Find button.

  4. When the results appear, enter the desired target translation (partial words, whole words, or whole segments).

Viewing/Editing Results

Tools on the results list help you view, edit, and filter your hits.

  1. To narrow your list of hits, use the filters above your results. 

    1. Under the editable column - choose whether to display All documents, Editable documents, or Read-only documents. 

    2. Under the targets column - choose which target language(s) to display in the Find and Replace view. This is only relevant when searching source segments.

  2. To view (and edit) the full hit in the workbench, click the linked document title on the left.

  3. To edit the target segment in the Find and Replace tool, double-click on the target segment or click the Edit icon on the far right of the row. 

Tags in the Find and Replace tool

  1. To see tags in your results, use the Tag visibility dropdown. You can choose to:

    1. Hide inline tags

    2. Show collapsed inline tags

    3. Show inline tags

    4. Show inline tags and attributes

  2. To apply tags to the target segment from the source segment, simply highlight the words you would like to nest with tags in the target segment and then double-click the tag in the source segment. 

    1. You will not be allowed to save segments that have tags applied incorrectly. 

    2. If you make edits to a segment that deletes tags while they are hidden, you will receive a warning message where you can choose to save or cancel your edits. 

  3. All tags will be cleared when you use the Replace function on segments that include tags. If you included segments with tags in your selection and try to use the bulk replace action, you will be informed that all tags will be lost.
