How to manage an existing Glossary

After a Glossary has been created, you can view and edit the entries in the Glossary.

  1. Go to the Project Resources menu from the sidebar menu and select Glossaries.

  2. Click on the name of the glossary you wish to manage.

  3. This will take you to the Glossary Summary page, from here you can manage the glossary by:
    1. Selecting the language of the entry you wish to manage.

      You can select a full locale (language and country) or simply a language when filtering Entries. 

    2. Doing this will show you all the entries the selected language is associated with. 
    3. From here you can search Entries as well as manage and delete the Concept and Terms of the Entry.  

Searching Entries

  1. After you select a Language, enter a term you wish to search for into the Search for Entries box.



  2. Press Search (or press the enter key).

  3. After searching press Show All to show all entries again (or clear the search box and press the enter key).

Adding Entries

  1. Select a language and then press New Entry.

     

  2. Enter a Concept Definition. 
  3. Enter the Term Text: 



  4. Click Add.

  5. Notice it says Added (pending).

  6. Above the list, press Show All to ensure the entry was added.

Deleting Entries

  1. Click on the entry you wish to delete. This will open up the Entry details (the Concept and Terms) on the right. 

  2. Choose Delete Concept under under Concept Actions. 

  3. You will be asked to confirm that you want to delete the Concept and all of its terms.

Managing Concepts

A true concept based Glossary is more than a word in the source being translated into a specific word in another language. It is a list of terms that match a definition and other metadata in as many languages as necessary.

Managing Concepts

  1. Select the desired Entry to open the Concept and list of Terms. 

  2. You should have already set a definition for your concept when you created a New Entry, but you can also edit the definition and set more attributes by selecting the Actions ellipsis and selecting Edit Concept. In the Edit Concept Modal you can set:


    1. The customer the concept should be used for.
    2. A specific project
    3. The source of the definition
    4. A subject field
    5. As well as many custom fields you want. 

Deleting Concepts

  1. Select the desired Entry to open the Concept and list of Terms. 

  2. From the Actions drop-down select Delete Concept

  3. A modal will appear asking you to confirm your decision. 

Managing Terms

Terms are the words you want to be used for specific locales based on the concept definition. You can have synonyms (i.e. multiple terms for one locale) which you can distinguish by defining metadata on the terms.  

Adding Terms

  1. Select the desired Entry to open the Concept and list of Terms. 
  2. Choose New Term from the Term section header. 

  3. A modal will appear where you can set the Term Text and the Locale the term should be associated with. 

    A term can be associated with a language or a full locale (language and country)

Edit Terms

  1. Select the desired Entry to open the Concept and list of Terms. 

  2. Scroll to find the term you want to edit. 

    Sort by Locale or Term to make the term you are looking for easier to find. 

  3. From the Term Actions ellipses, choose Edit Term.

  4. A modal will appear where you can:



    1. Change the Term Text
    2. Change the Locale
    3. Add Context
    4. Specify a Customer
    5. Set the Gender of the word
      1. none
      2. feminine
      3. masculine
      4. neuter
      5. other
    6. Specify the Part of Speech
      1. none
      2. adjective
      3. adverb
      4. noun
      5. other
      6. proper noun
      7. verb
    7. Determine what the Project should be
    8. Identify the Source of Context
    9. Identify the Source of Term
    10. Give the Term Location
    11. Select the Term Type
      1. none
      2. abbreviation
      3. acronym
      4. full form
      5. phrase
      6. short form
      7. variant
    12. Add as many other custom attributes you want. 

Deleting Concepts

  1. Select the desired Entry to open the Concept and list of Terms. 

  2. From the Actions drop-down select Delete Term

  3. A modal will appear asking you to confirm your decision.
