Cost and Invoice Reports

Cost and Invoice reports include detailed information on a phase level. It is important to understand the structure of the report and how certain fields in the report are populated to get the most out of the reports. 

Structure

  • Cost and Invoice reports are downloaded as CSV files. 

  • Each row is an individual phase. 

  • Project, document, and target data are repeated each time a phase that belongs to them is included in the report. 

  • The column names and order are fixed. They do not vary report to report, regardless of the different workflows being used. 

  • Report information is broken into different sections

    • Columns A - AB: Project and Document information

    • Columns AC - AQ: Target Information

    • Columns AR - BF: Phase Information

    • Columns BG - CM: Phase level cost information

Cost Columns

  • Hourly

    • Column BG: The hourly rate from your rate chart for the particular phase. Note, this column will be blank for translation and review type phases.

    • Column BH: The quoted hours calculated using the phase's rate chart. This does not have any financial impact. 

    • Column BI: The number of hours the responsible user worked on the phase. Depending on the workflow, this number is pulled directly from the timer in the Workbench or users will manually enter their time spent when they mark a phase complete. 

  • Word counts

    • Columns BI - CI: These columns provide you a record of rates, word counts and costs per TM Analysis Category.

  • Phase Rate Chart

    • Column CJ: The rate chart used to calculate costs for that phase. 

  • Rolled up costs

    • Column CK: The Base Cost which is the totaled costs of each TM Analysis Category or the cost of the hourly phase. 

    • Column CL: PM Fees are calculated by multiplying the Base Cost by the Project Management fee listed in the corresponding rate chart. 

    • Column CM: The Total Cost is the sum of the Base Cost and PM fees. 

Linguist Report

Structure

  • The Linguist report is downloaded as a CSV file. 

  • Each row is a unique combination of a phase and linguist, meaning if three community members worked on a phase, then there will be three rows for that phase in the report.  

  • Project, document, and target data are repeated each time a phase that belongs to them is included in the report. 

  • The column names and order are fixed. They do not vary report to report, regardless of the different workflows being used. 

  • Report information is broken into different sections

    • Columns A - C: Information about the client organization where the work was performed.  

    • Columns D - G: Document Information.

    • Columns H - T: Target Information, including information about the total wordcount and leveraged TM categories. 

    • Columns U- AF: Information about the phase. Note that the responsible user columns (AE - AF) is not necessarily the user who did work on the phase. They are the ones that should have done work based on who claimed it or the last person working on the phase.  

    • Columns AG - AM: Information about the user who actually did work on the phase based on the segment level data. 

    • Columns AN - AV: All relevant information necessary to pay a linguist based on the work that they actually did on the phase. 

Aliased Users

  • The Cost and Invoice reports will display an alias in the Assignee and Responsible User columns. 

  • The Linguist report is only available to Vendor organizations and will show the real name of the Assignee and Responsible User.
